In this step of Getting Started with the Team Plan, we will help you set up your Team. Most of this has likely already been done when you initially set up your solo account for success. There are a few differences that apply only to Teams.
This is the second step to getting your Team account set up and running successfully.
- Step 1: Describe Your Team's Style
- Step 2: Set Up Your Team for Success
- Step 3: Build and Manage Your Team
- Step 4: Put Your Team to Work in the Field
Before we can make any of those changes, we need to first get onto an active Team subscription.
Subscribe to the Team Plan
Getting onto a Team subscription is the same no matter your current plan. Go to the Subscription tab of your web settings, and tap Change Plan on the Team Plan tile.
If you're a new user, you can subscribe to Tap Inspect and select the Team Plan.
Once you are subscribed to the Team Plan, Team Options will become visible. You will see there are now two sections in your web account settings: User Settings and Team Settings.
Personalize and Brand Your Team
Company and User Profiles
The first thing you want to do once you switch to the Team Plan is revisit your Company Profile and User Profile in your web account settings.
Some changes may needed to transition from a solo inspector to a team, like updating your Company Signature.
The Company Profile is a Team asset that can only be managed by Team Owners.
The main addition you'll see here is the option to add an Office Email. This is helpful for any teams who want consistent client communication from one central source.
All messages from your Team will be sent from this email address, and any responses from agents or clients will be sent to this email's inbox.
If you don’t have an office email set up, all Messaging will default to the email in the assigned inspector's User Profile.
Just like in a solo account, each member of your team will have their own User Profile.
The main addition in the User Profile is the option for each team member to add an Inspector's Signature. This can be selected on a Message-by-Message basis in the Messaging tab of your web account settings.
Team Permissions
Team Permissions decide what Inspectors on your Team can and can not do in your Tap Inspect account. These settings control how much freedom you want members of your team to have in interacting with Team assets.
Permissions are granted by Team Owners in the Team Members settings of your web account.
The first thing you need to consider is whether you want everyone to be able to update the Team’s Saved Comments. Remember that keeping your Saved Comments under control is essential for efficiency; it may be helpful to imagine what impact your Inspectors may have on the Team's comment library.
Next, consider if you want everyone to be allowed to access the Team's Contacts and export the Team's Job History. These are important pieces of company data, and most teams deny this permission, but it is always an option to allow access.
Team vs. User Assets
Every member of the Team shares team assets, and Team Owners can manage them from the Settings in their web account.
Anything under the Team Settings section is a team asset. These include the Company Profile, Client Portal, Saved Comments, and Roles. Changes made to these Team Settings impact everyone on the Team.
Next Steps
Now that you are on a team subscription and have adjusted your profiles and branding to fit your new team let's move on to Step 3: Build and Manage Your Team.
